Kwezi Safaris – Terms & Conditions

At Kwezi Safaris, your comfort, safety, and satisfaction are at the heart of everything we do. These terms and conditions are designed to protect your booking and clearly define our shared responsibilities—ensuring you can fully enjoy your holiday with confidence and peace of mind.

Payment

To confirm your booking, we require a signed booking form (indicating acceptance of these terms) and a deposit. The balance is due 45 days before departure. For bookings made within 45 days of travel, full payment is required at confirmation.

We offer multiple convenient payment methods, including bank transfers, online payments, and local credit/debit card transactions at no additional cost. Please note: any bank transfer charges are the client’s responsibility.

Cancellation by You

We understand that plans may change. Should you need to cancel, a written notice signed by the original booking holder is required. Cancellation charges apply as follows:

60–30 days before departure: 20% of safari cost forfeited

29–15 days before departure: 70% forfeited

14 days or less before departure: 100% forfeited

Please note: gorilla permits are non-refundable, and no refunds apply for no-shows. If postponing, a 10% rescheduling fee (plus non-refundable gorilla permits) will apply.

Alterations by You

Change requests must be submitted in writing. Alterations made within 10 weeks of departure will be treated as cancellations and subject to the above policy.

Insurance

We strongly recommend comprehensive travel insurance. In addition, your safari is covered by Amref Flying Doctors Insurance, which includes 24-hour emergency evacuation assistance.

Room Sharing

For shared-room bookings, if a suitable roommate cannot be found, a single supplement fee will apply.

Responsible Tourism

We are committed to sustainable and ethical travel. Guests are kindly requested not to collect living specimens. Our safaris are designed for wildlife viewing and photography without disruption to nature.

Personal Belongings

All baggage and personal effects are carried at the traveller’s own risk throughout the safari.

Travel Documents

It is the traveller’s responsibility to ensure all necessary documents—passport, visas, and health certificates—are valid and up to date.

Safari Pricing

Your safari package includes transportation, meals, accommodation, and park entry fees as per itinerary. Confirmed safari prices remain fixed, though website rates may vary.

Safari Transport

Depending on your itinerary and group size, transport may be via pop-up safari minivans or 4×4 Land Cruisers. We may subcontract trusted partners of equal standard. Multilingual driver-guides (English, German, French, Italian, Spanish) are available on request.

Our Commitment to You

Once your booking is confirmed, we will do everything possible to honor the arrangements. If unforeseen circumstances require us to modify or cancel, we will promptly inform you and provide either an alternative holiday or a refund for the affected portion.

Complaints During Safari

Should an issue arise, please notify your tour manager immediately (via email or WhatsApp) for resolution. If unresolved, submit a written summary within 15 days of safari completion. We will investigate and respond within 30 days.

Prompt Communication

We aim to respond to all client inquiries within 48 hours. Calls (video or phone) are scheduled during agreed daytime hours for smooth coordination.

We guide clients on visa requirements, timelines, and documentation, as well as flight and transport options tailored to their destination.

Health & Safety

We provide destination-specific health recommendations, including vaccinations and safety advisories, to keep you well-prepared.

Quality Assurance

All service providers are vetted for quality and consistency. Regular reviews ensure standards are upheld and exceed expectations.

Transfers

Our airport and border transfer agents wear branded attire and carry clear signage for easy recognition.

Excursion Guidelines

Clients receive clear guidance on excursion itineraries, safety measures, and cultural/environmental considerations.

Feedback Mechanism

Post-trip feedback is encouraged and analysed to continually improve our services and maintain excellence.

Special Requests

Please advise us of dietary needs or special requirements at the time of booking to allow for proper arrangements.

Force Majeure

In cases of events beyond our control (natural disasters, civil unrest, government actions), Kwezi Safaris cannot be held liable for changes. We will, however, make every effort to provide alternatives.
